Why Are Some Words Blue?

Have you ever noticed that some of the field titles in ClientBase are blue? Ever wonder why?

This indicates that the field is customizable to your specific needs. It also means that if you enter a new code, you can query by it in the future. For example, let’s look at  the Referred By field on the General Info screen of a profile.

Click on the words “Referred By” and you will see a matrix pop up with some default referral sources. Maybe you want to add your local newspaper as a referral source.  Maybe you want to add the local tanning salon because you keep them stocked with brochures.  Just click ADD–>enter the referral source–>OK. Now when you are working in a profile and click that little down arrow, your new referral source will be there to select. You can also start to type it in the field and ClientBase will autofill it for you.

CAUTION:  You can free form fill that field. You can type in “Mary’s Aunt Betty” but in the future, you will not be able to query clients who referred by “Mary’s Aunt Betty” unless it is entered as a referral source.

Client Birthday Lists

One of our readers sent in a great question:

How does one get client names and dates for birthdays in a given month. I can get a report showing dates, but no names…

Well, ClientBase does not have that built in right out of the box. You will need to use Crystal Reports to build the report you seek. TCR (TRAMS Crystal Reports) is a freebie and if it is not already installed on your computer in the TRAMS folder (the icon is a greenish circle with a lightning bolt through it), you can download it for free from TRAMS.

TRAMS has a ton of custom reports that are also free to download. You can browse them here. Remember, some of these reports are for TRAMS Back Office, some are for ClientBase and others are for both–they are labeled well just make sure.

To run any Crystal Report, you do not need to be in ClientBase at all. Simply click the TCR icon and enter your user name and password. Use the BROWSE feature to find the report you wish to run and you are off to the races. All of the criteria for the reports will be selectable by you.

I do recommend that when you download reports you put them all in the same directory so you know where they are when you need them again.  I have mine in this directory:

C:–>PROGRAM FILES–>TRAMS–>TCR10

But you can put them in any one as long as you know where to look.

Crystal Reports is VERY powerful and there are many people that can write and program any type of custom report for you–not me, but if there is a specific report that is extremely detailed, there likely is a programmer who can handle the task. TRAMS also does some custom report building and I am always a firm believer in hiring someone that knows the program from the start and not having a “stranger” have to learn it to create something for you.
