Zipping Through Profile Addresses

I used to find the ClientBase layout for the profile addresses to be counter intuitive. Tab from the street to the zip code, then the city and then the state. Does not make too much sense does it?

Well, why not have the city and state autofill for you based on the zip code?

Easy enough! Now, there is no way that I am aware to put in EVERY zip code into ClientBase, but why not just put in those of your clients.

It may take a little work, but it is worth it in the long run.

  1. Perform a LEVEL 1 PROFILE QUERY on ALL of your LEISURE clients. (PROFILE TYPE=LEISURE, REFRESH). You may need to add the zip code field to be displayed. If the zip code is not displayed, from the existing results, click COLUMNS (on the bar above the results) and then select PRIMARYADDRTABLE:ZipCode and click the single right arrow (>) to add it to the results. Click OK.
  2. Now, sort by Zip Code. Click on the COLUMNS button again and this time select the SORT BY COLUMNS tab.  Select the SORT BY for the PRIMARYADDRTABLE: ZipCode. Select ASCENDING.
  3. Now, break out a pad and paper and make three columns (Zip, City, State) For each zip code you see, write these three items down.

Now you need to get this info entered into ClientBase.  Pull up any profile you want and click on the blue link that says ZIP CODE.  You should get a blank table similar to this one:

  1. Now head back to your paper pad and click on ADD
  2. Enter the ZIP, CITY, STATE and COUNTRY and then click OK

Now that zip code is tied to that city, state and country. In the future, when you tab from the last street address field, you just enter in the client’s zip code and the rest will populate for you.

Most agencies draw from specific geographic regions, so you will likely see that there are a lot of people from the same zip code. Start off entering those in there first.

If you have some down time, you can even do an internet search for zip codes local to your area and preemptively enter them.

Why Are Some Words Blue?

Have you ever noticed that some of the field titles in ClientBase are blue? Ever wonder why?

This indicates that the field is customizable to your specific needs. It also means that if you enter a new code, you can query by it in the future. For example, let’s look at  the Referred By field on the General Info screen of a profile.

Click on the words “Referred By” and you will see a matrix pop up with some default referral sources. Maybe you want to add your local newspaper as a referral source.  Maybe you want to add the local tanning salon because you keep them stocked with brochures.  Just click ADD–>enter the referral source–>OK. Now when you are working in a profile and click that little down arrow, your new referral source will be there to select. You can also start to type it in the field and ClientBase will autofill it for you.

CAUTION:  You can free form fill that field. You can type in “Mary’s Aunt Betty” but in the future, you will not be able to query clients who referred by “Mary’s Aunt Betty” unless it is entered as a referral source.

Take a look around and see all the blue fields out there.

Do You Know Your Vendor Business?

Ever want to know exactly how much business you have done with a specific vendor?

Go to the PROFILE MANAGER and query the vendor in a Level 1 query. Once you see the vendor in the resulting display, DOUBLE CLICK the name to display the vendor profile. Then click the TRAVEL HISTORY tab and you can see all reservations associated with that vendor.

If you want more detailed info on a specific booking, highlight the booking and then click the icon that says GOTO RES CARD!
